An account lets a person sign in; it gives no mail by itself. Mailboxes are shared one by one, each with its own level of access.
Add a person
- Open Settings → People and go to Add a person.
- Enter a login and a password of at least ten characters, and choose whether the person is an administrator.
- Press Create, and give the person their login and password.
They can then add their own mailboxes, passkeys and a second sign-in step in their settings.
Share a mailbox
Whoever connected a mailbox owns it. To let others in, open the mailbox under Settings → Mailboxes, go to Access, choose the person and the level, and press Grant access.
| Level | What the person can do |
|---|---|
| Read | See the mail and discuss it with the others |
| Work | Also reply from the mailbox, move and delete emails |
| Manage | Also change the mailbox password, share it and sign it in again |
Once two or more people can reply from a mailbox, emails can be assigned, and everyone gets Assigned to me.
Change, disable, delete
| Action | What happens |
|---|---|
| New password | Sets a password of at least ten characters; the person's sessions are closed and their passkeys removed |
| Turn off second step | The person signs in with the password alone until they set it up again; recovery codes stop working |
| Disable | The person cannot sign in and their sessions are closed. The last administrator cannot be disabled |
| Delete for good | Only for a disabled account. Its settings, rules, contacts and drafts go with it, and its own mailboxes are disconnected. The mail on the mail server stays |
Administrators
An administrator sees the admin console and the installation-wide settings: people, single sign-on, passwordless sign-in, backups, retention, attachments and agents. A person who is not an administrator manages only their own account and the mailboxes shared with them.
