Rights and approval

Every agent has its own rights. You set them when you create or connect it and change them later on the Agents screen; changes apply to the agent's next request.

A new agent starts with Mail: search and read and nothing else. An agent sees only the tools its rights allow; see the Tools reference.

Newsletter issues are only prepared by agents. Sending an issue to a list is always done by a person.

Mailboxes

Tick the mailboxes the agent may use. Nothing ticked means all your mailboxes, including ones you add later. An agent never sees a mailbox you cannot see.

Approval before sending

With The agent's emails wait for my approval ticked, every email the agent writes waits under Agents → Waiting for approval:

  • Send puts it in the outbox; pressing it twice, or in a second tab, does not send it twice;
  • Reject drops it.

Untick it to let the agent send on its own, within its daily limit. That works only if the administrator allowed it under Admin → Agents → Agents may send emails without a person's approval; otherwise emails wait for approval whatever the agent's own rights say.

Daily limit

Emails per 24 hours, at most counts emails sent at once and emails waiting for approval. Rejected emails do not count. The default is 50, the maximum 5,000.

Expiry

Valid for 30 days, 90 days, a year, or with no limit. An expired agent stops working; its rights stay so you can see them.

Revoking

Revoke stops the agent at once: its key or tokens no longer work, and its emails waiting for approval are dropped. An administrator can revoke any agent on the installation under Admin → Agents.

Audit log

The audit log records, with the agent's name: emails it sent or left for approval, drafts, sorting, changes to prospects, subscribers, contacts, calendar and tasks, and every approval and rejection.
